1. Introduction

This Site Visit Policy explains how Ilfracombe Dustbusters (“we”, “us”, “our”) manages and conducts site visits prior to providing a quote, service estimate or cleaning schedule.
Site visits help us assess access, safety, property condition and the scope of work so we can quote accurately and plan effectively.

2. Purpose of a Site Visit

A site visit allows us to:

  • Assess the size and condition of the property

  • Identify access arrangements and safety considerations

  • Confirm the type and level of cleaning required

  • Understand client priorities or specific requests

  • Identify any specialist equipment needed

  • Ensure an accurate and fair quotation is provided

These assessments prevent unexpected issues during service and ensure both parties are clear on expectations.

3. Booking a Site Visit

Site visits must be scheduled in advance. We will confirm:

  • Date and time

  • Property address

  • Access instructions

  • Contact details for the responsible person on-site

We may require information beforehand, such as property type or plans, depending on the complexity of the project.

4. Access Requirements

4.1 Access on arrival

You must ensure we can access the property or site at the agreed time.
If we cannot gain access, the visit may need to be rescheduled.

4.2 No-access fee

If we arrive for a confirmed site visit and cannot access the property, a £20 no-access fee may apply to cover travel and time.

4.3 Working sites

For construction or refurbishment properties:

  • The site must be safe to enter

  • Appropriate safety measures must be in place

  • We should be informed of any hazards before arrival

If the site is deemed unsafe, we may decline the visit.

5. Client Responsibilities

You agree to:

  • Provide accurate information prior to the visit

  • Ensure someone is present if required

  • Notify us of any hazards (e.g., broken glass, loose flooring, exposed wiring, wet paint, chemicals)

  • Inform us if the site changes condition significantly before the visit

Failure to provide accurate information may affect the quote provided.

6. What We Assess During the Visit

During a site visit, we typically inspect:

  • Overall cleanliness and condition

  • Amount of dust, debris or waste present

  • Areas needing detailed or specialist attention

  • Condition of kitchens and bathrooms

  • Windows, frames and sills

  • High-level areas (if accessible)

  • Access routes, parking and loading

  • Safety conditions and PPE requirements

  • Number of cleaners required

  • Estimated labour hours

  • Equipment needed

  • Whether a secondary visit is required

This ensures your quote is accurate, fair and tailored to the property’s real condition.

7. Changes in Scope After the Visit

If the property condition changes between the site visit and the cleaning date (e.g., additional building work, new damage, further dust/debris), the quote may be revised.

This includes:

  • Added rooms or areas

  • Heavy post-build dirt

  • Paint, silicone, plaster or adhesive marks

  • Waste left inside the property

  • Additional tasks not mentioned earlier

We reserve the right to re-quote if the scope changes significantly.

8. Cancellations & Rescheduling of Site Visits

8.1 Notice period

  • More than 24 hours’ notice: no charge

  • Less than 24 hours: £10 fee

  • Same-day cancellation: £15 fee

8.2 Construction sites

Due to frequent schedule changes on building projects, any cancelled or delayed site visit must be communicated as soon as possible.
Repeated last-minute changes may affect future availability.

9. Safety on Site

We reserve the right to refuse or reschedule a visit if:

  • The site is unsafe

  • There are hazards not disclosed beforehand

  • Severe weather creates unsafe travel or working conditions

  • The property is inaccessible

Safety is always prioritised over deadlines.

10. Quotes Following a Site Visit

Quotes provided after a site visit are:

  • Based on the condition assessed during the visit

  • Valid for 14 days (unless stated otherwise)

  • Subject to change if the property condition changes

  • Sent by email for approval

Once accepted, the quote forms the basis of your booking or contract.
